Yes. A guided builder records the property or room, all joint tenants and other adult occupiers, monthly rent, bills, deposit, agreements and delivery evidence. For supported ordinary England monthly lettings, prepare an original agreement PDF with signature spaces. Review it, give every named tenant a copy before signing, then upload the signed copy and record delivery. Inventories, condition reports and Right to Rent records can also be prepared as PDFs. Other arrangements need an adviser-prepared agreement. The CRM does not apply e-signatures or supply NRLA templates.
Use the workflow library to track applications, referencing, inventories, pets, repairs, rent reviews, tenancy endings and deposit reconciliation. Provider services such as credit checks, insurance, certificates and legal advice are arranged separately, with their quotes, tasks and results recorded in the CRM.
Generate the rental month’s charges, choose the tenant or landlord and enter the amount, actual payment date, BACS or cash method and reference. Partial payments reduce the balance for that period, so unpaid rent stays visible.
Record the expense and who is responsible. A landlord recovery needs authority in the property agreement and approval evidence. Once the expense is approved and paid, apply it to the relevant landlord rent charge. The deduction appears on the statement.
Invited landlords see their assigned property information, rent statements, approved deductions, shared documents and statement history. Tenant identity and Right to Rent evidence remain restricted to authorised company users.
Yes. Enable monthly statements for each landlord and choose a send day. The CRM prepares the previous month’s statement from recorded charges, payments and deductions, and saves its contents and email submission status in the communications log.
Yes. In inventory and condition reports, use Take photo & attach for an item or meter, or select several saved photos together. A thumbnail and attachment count show what was added. Large JPEG/PNG photos up to 64 MB are prepared as smaller report copies; keep the full-size originals on your device. Camera availability depends on your phone and browser. An internet connection is required.
Yes. Inventory and condition reports keep their editable answers, items, meter readings and linked photos alongside the PDF. Choose Edit report in Documents, make your changes and save a new PDF version. Earlier PDFs remain unchanged. Remove a photo from the revised report, or delete it recoverably from Documents and restore it when needed.
Yes. Add your details and optional logo in Business identity. Reports use your company branding; without a logo, they use your business name. Tenancy agreements identify the tenant-facing landlord and service address recorded in tenancy setup. Rent to Rent CRM is the software platform, not a party to the tenancy.
Add your business identity and landlords, then properties and rooms, followed by tenants and tenancies. Many forms let you add a missing landlord or property without leaving your work. The Overview has a linked setup guide; tenancy readiness shows the evidence and actions still needed.
PDF, Word (.doc and .docx), Excel (.xls and .xlsx), PNG and JPEG files. Stored files are limited to 8 MB each. Large JPEG/PNG photos in inventory and condition forms are prepared as smaller report copies; Right to Rent evidence retains the original and must be under 8 MB. PDFs and images open in the browser; Word and Excel files download to open in a compatible app. Files are encrypted and must pass a security scan before opening or downloading.
Yes. Keep room tenancies under a single property, with occupancy details, licensing records and property-specific compliance evidence. Each active property counts once towards the plan limit, regardless of its rooms.
Download the rent and expense ledger as CSV, and print monthly reports. Company owners can also export workspace records. The reports support day-to-day management; your accountant should review tax, capital costs and formal accounts.
It records payments, evidence and deadlines. You make landlord transfers through your bank and remain responsible for inspections, official checks, deposit protection and legal document delivery. Compliance guidance is for England residential lettings and supports, rather than replaces, your responsibilities.
Start with a 14-day trial without entering card details. Choose a monthly plan and approve recurring payment through PayPal when you subscribe. Enter an eligible discount code inside your chosen package before continuing; the agreed discount repeats monthly until cancellation.
Cancel renewal from the subscription screen or PayPal. Paid access continues until its recorded end. Normal subscription expiry preserves read and export access, subject to the service and retention policies. Account closure is a separate support request.
